Coordinate regulatory requirements for importing flavour ingredients and food-related products, ensuring documentation complies with applicable Vietnamese regulations.
Review sales and purchasing contracts, including commercial terms, payment conditions, delivery obligations, product specifications, and documentation requirements. Identify discrepancies and potential risks.
Manage customer orders in Vietnam from receipt through fulfilment, ensuring accurate and timely processing in SAP.
Provide administrative and operational support to customers and Sales Managers. Respond to enquiries and resolve order and delivery issues.
Work with the Sales team, logistics teams in Singapore and Germany, Finance, customers, and logistics partners to ensure smooth shipments and on-time deliveries.
Prepare and manage import and export documents, including invoices, packing lists, Bills of Lading or Air Waybills, Certificates of Origin, Form D, import licences, and other required regulatory documents.
Track customs clearance, shipment status, outstanding orders, and delivery schedules. Escalate issues when necessary.
Maintain accurate customer, order, shipment, and invoice records in SAP, Easy Invoice, and other company systems.
Follow company policies and procedures and comply with applicable Vietnamese laws and regulations.
