Tổng quan

  • Receive training and support the management of commercial activities and coordination of steel structure projects, including contract management, billing, payment collection, variation orders, overall schedule monitoring, cross-functional coordination, and reporting. The goal is to develop into a Project Commercial Executive capable of independently monitoring a portfolio of projects.
  • 1. Project Coordination & Schedule Monitoring
  • Coordinate with Sales, TED, PMD, Procurement, Production, QC, Logistics, Erection/CMD, CS, and Accounting to update project implementation status from contract signing through handover.
  • Update the Project Master Schedule and milestone tracker based on the plan approved by the Project Manager/PMD; collect actual progress, forecast completion dates, and reasons for delays.
  • Track key milestones: contract and advance payment; APD/design approval; shop drawings/fabrication release; production/QC; ETD/ETA; site readiness/anchor bolts; erection; handover and final billing.
  • Maintain the Action/Pending Issue Log, including issue details, person in charge, deadline, status, and schedule impact; follow up until each item is closed.
  • Identify schedule delay risks and promptly escalate them to PMD and L&C; monitor recovery actions as directed by the person in charge.
  • Assist in preparing minutes of meeting (MOM) and weekly progress reports, and link project progress to billing and collection milestones.
  • 2. Contract Management
  • Assist in compiling commercial terms, including scope, contract value, advance payment, payment milestones, retention, warranty, acceptance documentation, and payment conditions.
  • Track contracts, appendices, commercial correspondence, and related commitments/action items; manage document versions and maintain complete, consistent records.
  • Assist in checking compliance with contractual obligations and updating the Contract Obligation Tracker.
  • 3. Billing & Payment Collection
  • Prepare/update the billing schedule based on the contract and actual progress; track documents due and the conditions required for invoice issuance.
  • Coordinate with PMD, CS, CMD, Logistics, and Accounting to collect progress updates, acceptance records, packing lists, delivery documents, and other documents required for payment.
  • Track statuses such as submitted, under review, approved, invoiced, and collected; flag outstanding documentation and overdue payments.
  • 4. Accounts Receivable & Commercial Reporting
  • Update AR aging, due dates, collection forecasts, and collection status for each contract/project; assist Accounting with reconciliations.
  • Prepare the weekly Project Progress & Commercial Status report and Weekly Collection/AR Report using the company’s templates.
  • Check data consistency; document issues and their causes, and recommend follow-up actions to management.
  • 5. Variation Orders & Commercial Coordination
  • Track changes to scope, quantities, unit rates, or schedule; compile supporting information from TED/PMD/CMD to prepare the Variation/Change Order Log.
  • Update proposal documentation, values, approval status, response deadlines, and impacts on schedule/billing.
  • Assist in preparing correspondence and claim/variation documentation as directed by management; do not independently commit to values or changes to contract terms.
