Prepare, check and process export shipping documentation, including Commercial Invoice, Packing List, Bill of Lading (HBL/MBL), Shipping Instruction (SI), VGM, Certificate of Origin (C/O) and other relevant documents.
Coordinate with shipping lines, overseas agents, freight forwarders, customs brokers and other relevant parties to ensure documents are submitted accurately and within the required deadlines.
Check shipping documents against booking details and customer instructions to ensure accuracy and completeness.
Prepare and submit shipping instructions, manifest information, VGM and other required shipping declarations as applicable.
Monitor vessel schedules, cut-off times, ETD/ETA and other shipment milestones, and ensure all documentation is completed before the relevant deadlines.
Prepare and send pre-alert and shipping documents to overseas agents and customers where required.
Follow up on Bill of Lading issuance, amendments, release instructions and other documentation matters.
Maintain accurate shipment records and update relevant information in the company's internal systems.
Coordinate with the Operations and Customer Service teams to ensure smooth shipment execution and timely completion of documentation.
Handle document amendments, discrepancies and other documentation-related issues in a timely manner.
Ensure proper filing and maintenance of shipping documents and records.
Perform other duties and administrative tasks as assigned by the Team Leader / Manager.
